The unit is the story

Why the same quote is a bargain for one team and a mistake for another

This is the part the other pages on this query skip, and it is the only part that lets you predict your own number.

Gainsight and ChurnZero buyers describe quotes built from a platform fee plus a per-seat licence, so adding a CSM adds to the bill. Planhat inverts this. Every tier includes unlimited users, and the number the quote is built on is how many customer organisations you load into it.

That makes the arithmetic simple. A twelve-person CS team managing 300 accounts is in the Start-Up band and paying for 300 things. A three-person team managing 3,000 accounts is in the Enterprise band and paying for 3,000. The second team is smaller and will be quoted more than three times as much.

The practical consequence is that Planhat is at its cheapest, relative to the field, for high-touch teams on a concentrated book, and at its most expensive for lean teams on a long tail. If your book is long-tail, price the tools that charge per seat before you assume Planhat is the economical choice.

The second thing the unit tells you is where the threshold pain is. Vendr's bands step at 500 and 2,000 accounts. Being quoted at 520 accounts is worth a conversation about which 20 you could archive.

Double the book to 800 accounts and the licence moves into the Professional band at $30,000 to $50,000 while the seat line stays at zero, which is the per-account model doing exactly what it says. Year two drops the services line and adds GainTrace's reported 3% to 7% uplift.

Count the accounts before they do

The quote is built on account volume, and the bands step at 500 and 2,000. Archive churned and dormant organisations before the sizing call, not after the contract, and ask what happens to the rate when you cross the next threshold.

Modules are where the padding lives

The AI Platform, Advanced Portals and Email Marketing are quoted on top of the tier. The top of the observed range is a full-module enterprise deployment. Cut the modules nobody on the team will configure this year.

Trade term for rate, carefully

When Planhat is the right call

Planhat has the most flexible data model in the category. If your business is multi-product, multi-entity, or structured in a way that a simpler tool would force you to flatten, and someone on the team will own building that model, it earns its price and the per-account unit will suit a high-touch team.
